Acceptance of the terms and conditions

The reservation constitutes a contract under which the traveler accepts each of the following conditions, as well as those of the carriers involved (when purchasing a package with air transportation) and tour operators. It is the traveler's responsibility to carefully read and understand these terms and conditions, which come into effect at the time of payment. It is also the traveler's responsibility to:
• be aware of the entry and exit requirements of the countries visited or transited;
• obtain the necessary travel documents for entry into and exit from the countries concerned;
• ensure that they are aware of the various clauses of their travel insurance coverage, particularly in the specific context of a pandemic.

REQUIRED DOCUMENTATION

It is the responsibility of each traveler to obtain, at their own expense, all official documents required for their trip, such as a visa, which vary depending on citizenship status and destination. Some countries require that passports be valid for up to 6 months beyond the expected date of return to Canada. A single parent traveling with a child under the age of eighteen (18) may be required to present a written affidavit, signed by the other parent, authorizing the child to travel.
The carrier or the competent authorities may refuse boarding or entry into a country to any traveler, either arbitrarily, following a temperature check, or due to non-compliance with requirements (documents, authorization, vaccination, etc.), without recourse to the agency, suppliers, or authorities concerned. In this case, the traveler must assume all costs incurred and cannot obtain a refund or compensation from Vélo Québec Voyages. All prices listed on our website are valid for one person based on double occupancy in accompanied and Self-guided packages Self-guided are in Canadian dollars. Prices include taxes and the contribution to the Travel Agents Customer Compensation Fund at the current rate of $1 per $1,000 of services purchased and its applicable rebate, effective January 1, 2024. The prices advertised on veloquebecvoyages.com are valid if you purchase services during the same web session. If you log out of our site, prices may be different the next time you log in. Prices are subject to change in the event of a tax imposed or increased by a government authority, a carrier surcharge, or an increase in the exchange rate. In such a case, if the change is caused by a carrier surcharge or an increase in the exchange rate and results in a price increase of less than 7% excluding GST and QST, the customer agrees to pay the difference. However, if the change results in a price increase equal to or greater than 7% of the price, excluding GST and QST, the customer may then choose between (1) canceling this contract and receiving a full refund of the price, or (2) accepting any replacement services that may be offered, otherwise the price difference will be borne entirely by the customer. An insufficient number of travelers may be a valid reason for canceling a trip. In such cases, travelers will be notified as soon as possible and Vélo Québec Voyages will refund the full amount paid for the trip. No other form of compensation may be claimed by the traveler. If there is a difference between the information presented on our website veloquebecvoyages.com and that in the detailed program given to the traveler at the time of departure, the content of the latter shall prevail.

ADDITIONAL SERVICES

For all requests concerning the following services, full payment is required at the time of request and in case of cancellation, the fees are 100% non-refundable
nor transferable.

All additional services listed above are subject to the service providers' terms and conditions and are non-transferable and non-refundable.

UNUSED SERVICE

Vélo Québec Voyages will not issue any refunds for any services not used during the trip.

PAYMENT BY CREDIT CARD

By authorizing the use of their credit card number, travelers agree to comply with the booking conditions, even if they have not signed the appropriate form. Verbal authorization is sufficient to confirm payment by credit card and to confirm the purchase of the trip. By paying an initial deposit, the customer acknowledges and accepts these terms and conditions. Only the following cards are accepted: Visa and MasterCard.

TRAVELER RESPONSIBILITY

The traveler releases Vélo Québec Voyages from any liability for damages resulting from injuries, accidents, death, or loss of enjoyment arising from the activity. The traveler is responsible for being in sufficient health and autonomy to undertake the trip. The traveler is also responsible for checking whether vaccinations are required for the locations visited and for having the required vaccination records in their possession. The traveler is required to comply with the health measures put in place (masks, vaccinations, health checks) by the various service providers (air transport, transfers, accommodation, catering, etc.). These measures may be modified by the suppliers without prior notice.
Furthermore, travelers release Vélo Québec Voyages from any liability for damages resulting from unforeseeable circumstances or force majeure, including, without limiting the generality of the foregoing: pandemics, strikes, government restrictions, terrorist acts, war, weather conditions, and road conditions. In the event of force majeure, Vélo Québec Voyages reserves the right to cancel, change, or modify any part of the trip and will do everything in its power to offer equivalent services.

LUGGAGE/BICYCLE

The traveler acknowledges that the transport and handling of luggage/bicycles is carried out at their own risk, and Vélo Québec Voyages cannot be held liable in any way for delays or damage, including theft or loss of luggage or bicycles and their transport boxes.

FLIGHTS

Flights are subject to change at any time by the airline, and these changes may affect schedules, aircraft types, travel days, flight routes, etc. These changes may occur without notice and are not the responsibility of Vélo Québec Voyages.

PASSENGER BEHAVIOR

In the event that a traveler behaves in a manner that is detrimental to other travelers or service providers, they may be expelled from a trip. Any costs or losses incurred as a result of their behavior will not be reimbursed by Vélo Québec Voyages. Furthermore, Vélo Québec Voyages reserves the right to refuse registration for one or more individuals on a trip.

OCCUPANTS (MODIFICATION AND TWINNING)

MATCHING PEOPLE TRAVELING ALONE

For trips offered as accompanied travel packages, (travelers traveling alone may be paired with someone of the same gender. However
• Less than 70 days before departure for a trip involving air travel, a single person booking a package must pay the single occupancy fee if there is no pairing available.
• Less than 31 days before departure for a trip without air transportation, a single person booking a package must pay the single occupancy fee if there is no match pending.
For Self-guided trips, solo travelers must pay the single occupancy fee at the time of booking.

*Vélo Québec Voyages reserves the right to discontinue offering the room-sharing option in order to comply with health measures in effect at our accommodation providers in the country or province concerned. The customer is aware that by agreeing to share a room with another person, they will have to continue living with that person if they contract a virus.

CHANGE IN THE NUMBER OF OCCUPANTS

In the event of cancellation by one or more travelers sharing the same room, the rate charged to the other member(s) of the group will be increased accordingly, based on the applicable rate. In addition, travelers who cancel will be required to pay the applicable cancellation fees.

LAND PORTION

Travelers who purchase only the land portion of the trip are responsible for:
• ensuring that the trip is guaranteed before booking air or other transportation;
• joining the group at the date, time, and location specified by Vélo Québec Voyages.

It is the customer's responsibility to provide us with their outbound and return flight schedules.

CHANGES TO THE NAMES/FIRST NAMES ON THE AIRLINE TICKET

No name changes are permitted within 7 days of departure. For name corrections on Air Transat tickets 8 days or more prior to departure, a $50 fee will apply. For name corrections on tickets issued by airlines operating domestic flights, change fees apply.

TRAVEL INSURANCE

To travel with peace of mind, every traveler should always have travel insurance (cancellation, trip interruption, and medical care) when traveling. If the traveler is insured through their credit card, group insurance at work, or any other personal insurance, it is their responsibility to check their insurance policies and, if necessary, purchase additional insurance to ensure adequate coverage. The travel advisor observes confidentiality principles regarding personal information provided by the customer.

PROMOTIONAL OFFERS

Promotions cannot be combined with each other.

Deposit and final payment / Cancellation, transfer, and change policy

PACKAGES WITH AIR TRANSPORTATION (including trips organized according to Vélo Québec Voyages, Self-guided Custom group formulas)

Deposit required at the time of booking:

$500 per person if the package price is less than $5,000;
$800 per person if the package price exceeds $5,000 or if you book a Self-guided group or individual) or Custom group package.

Final payment must be received by Vélo Québec Voyages at least 70 days prior to departure. If the reservation is made less than 70 days prior to departure, the traveler must pay the full price of the package at the time of booking.

Once the final payment deadline has passed, i.e., 70 days before departure, Vélo Québec Voyages will return any unsold airline tickets included in the package. Travelers who book their trip after this date will be responsible for the difference in the cost of the airline ticket, which must be purchased individually. Restrictions and conditions of purchase may apply to the airline ticket (non-refundable and non-transferable) depending on the airline's booking conditions.

Purchase of the land portion of the trip: the same rules apply to the deposit and final payment as to the cancellation, transfer, and change policy.

Deposit required at time of booking:$200 per person.

Final payment must be received by Vélo Québec Voyages at least 45 days prior to departure. If the reservation is made less than 45 days prior to departure, the traveler must pay the full price of the package.

EVENT PACKAGES WITHOUT AIR TRANSPORTATION (including the Petite Aventure the Grand Tour)

The Petite Aventure $75 per person
The Grand Tour: $200 per person

Final payment must be received by Vélo Québec Voyages at least 55 days prior to departure. If the reservation is made less than 55 days prior to departure, the traveler must pay the full price of the package.

For the one-day tour, full payment is required at the time of booking.
