Acceptance of the Terms and Conditions

The reservation constitutes a contract under which the traveler agrees to each of the following terms and conditions, as well as those of the carriers involved (when purchasing a package that includes air travel) and tour operators. It is the traveler’s responsibility to carefully read and understand these general terms and conditions, which take effect upon payment. It is also the traveler’s responsibility to:
• be familiar with the entry and exit requirements of the countries visited or transited through;
• obtain the necessary travel documents for entry into and exit from the relevant countries;
• verify the various provisions of their travel insurance coverage, particularly in the specific context of a pandemic.

REQUIRED DOCUMENTATION

It is the responsibility of each traveler to obtain, at their own expense, all official documents required for their trip—such as a visa—which vary depending on citizenship status and destination. Some countries require that a passport be valid for at least 6 months beyond the scheduled return date to Canada. A single parent traveling with a child under eighteen (18) years of age may be required to present a written, sworn statement, signed by the other parent, authorizing the child to travel.
The carrier or the relevant authorities may deny boarding or entry into a country to any traveler—either arbitrarily, following a temperature check, or due to non-compliance with requirements (documents, authorization, vaccinations, etc.)—without recourse against the agency, suppliers, or the authorities concerned. In such a case, the traveler must bear all resulting costs and is not entitled to a refund or compensation from Vélo Québec Voyages. PRICE LISTED

PRICE LISTED

All prices listed on our website are valid for one person based on double occupancy for guided tours and Self-guided and are in Canadian dollars. Prices include taxes and the contribution to the Travel Agent Customer Compensation Fund at the current rate—$1 per $1,000 of services purchased, plus any applicable rebate—effective January 1, 2024. The prices listed on veloquebecvoyages.com are valid only if you purchase services during the same web session. If you log out of our site, prices may differ when you log back in. Prices are subject to change in the event of the imposition or increase of a tax by a government authority, a carrier surcharge, or a change in the exchange rate. In such a case, if the change is caused by a carrier surcharge or an increase in the exchange rate and results in a price increase of less than 7% excluding GST and QST, the customer agrees to pay the difference. However, if the change results in a price increase of 7% or more of the price, excluding GST and QST, the customer may then choose between (1) canceling this contract and receiving a full refund of the price, or (2) accepting any replacement services that may be offered; otherwise, the customer must bear the full cost of the price difference. An insufficient number of travelers may constitute valid grounds for canceling a trip. In such cases, travelers will be notified as soon as possible, and Vélo Québec Voyages will issue a full refund of the amounts collected for the trip. No other form of compensation may be claimed by the traveler. Should there be a discrepancy between the information presented on our website, veloquebecvoyages.com, and that in the detailed itinerary provided to the traveler at the time of departure, the content of the latter shall prevail.

For all requests regarding the following services, full payment is required at the time of the request, and in the event of cancellation, fees are 100% non-refundable

All of the additional services listed above are subject to the service providers’ terms and conditions and are neither transferable nor refundable.

SERVICE NOT USED

Vélo Québec Voyages will not issue any refunds for any services not used during the trip.

PAYMENT BY CREDIT CARD

By authorizing the use of their credit card number, the traveler agrees to comply with the booking terms and conditions, even if they have not signed the appropriate form. Verbal authorization is sufficient to confirm payment by credit card and to confirm the purchase of the trip. By making an initial payment, the customer acknowledges and accepts these terms and conditions. Only the following cards are accepted: Visa and MasterCard.

TRAVELER'S RESPONSIBILITY

The traveler releases Vélo Québec Voyages from any liability for damages resulting from injuries, accidents, death, or loss of enjoyment arising from the activity. The traveler is responsible for ensuring they are in sufficiently good health and capable of independent travel to undertake the trip. The traveler is also responsible for verifying whether any vaccinations are required based on the locations visited and for having the required proof of vaccination in their possession. The traveler is required to comply with the health measures put in place (masks, vaccinations, health screenings) by the various service providers (airlines, transfers, lodging, restaurants, etc.). These measures may be modified by the providers without prior notice.
Furthermore, the traveler releases Vélo Québec Voyages from any liability for damages resulting from unforeseeable events or force majeure, including, but not limited to: pandemics, strikes, government restrictions, terrorist acts, war, weather conditions, and road conditions. In the event of force majeure, Vélo Québec Voyages reserves the right to cancel, change, or modify any part of the trip and will do everything in its power to provide equivalent services.

LUGGAGE/BIKE

The traveler acknowledges that the transportation and handling of luggage and bicycles are at his or her own risk, and under no circumstances shall Vélo Québec Voyages be held liable for any delays or damage, including theft or loss of luggage or the bicycle and its transport case.

FLIGHTS

Flights are subject to change at any time by the airline, and these changes may affect schedules, aircraft types, travel dates, flight itineraries, etc. These changes may occur without notice, and Vélo Québec Voyages is not liable for them.

PASSENGER CONDUCT

If a traveler engages in conduct that is detrimental to other travelers or service providers, they may be removed from the trip. Any costs or losses resulting from such conduct will not be reimbursed by Vélo Québec Voyages. Furthermore, Vélo Québec Voyages reserves the right to refuse registration for one or more individuals on a trip.

OCCUPANTS (MODIFICATION AND PAIRING)

MATCHING PEOPLE TRAVELING ALONE

For trips offered as “Accompanied Travel” packages, it is possible to pair solo travelers with a person of the same sex. However,
• Less than 70 days before the departure of a trip involving air travel, a solo traveler booking a package must pay the single-occupancy supplement if there is no matching partner available.
• Less than 31 days before departure for a trip without air travel, a solo traveler booking a package tour must pay the single occupancy fee if there is no waiting partner.
For trips offered as “ Self-guided ” packages, solo travelers must pay the single occupancy fee at the time of booking.

*Vélo Québec Voyages reserves the right to discontinue the room-sharing option in order to comply with the health and safety measures in effect at our lodging providers in the relevant country or province. The customer understands that by agreeing to share a room with another person, they will be required to continue sharing the room with that person if the other person contracts a virus.

CHANGE IN THE NUMBER OF OCCUPANTS

In the event of a cancellation by one or more travelers sharing the same room, the rate charged to the other member(s) of the group will be increased accordingly, in accordance with the established rate. In addition, the travelers who canceled will be required to pay the applicable cancellation fees.

LAND SECTION

Travelers who purchase only the land portion of the trip are responsible for:
• ensuring that the trip is confirmed before booking air or other transportation;
• joining the group on the date, at the time, and at the location specified by Vélo Québec Voyages.

It is the customer's responsibility to provide us with their outbound and return flight schedules.

CHANGES TO THE LAST AND FIRST NAMES ON THE AIRLINE TICKET

No name changes are permitted within 7 days or less of departure. For name corrections on Air Transat tickets 8 days or more before departure, a $50 fee will apply. For name corrections on tickets issued by airlines operating domestic flights, a change fee applies.

TRAVEL INSURANCE

To travel with peace of mind, every traveler should always have travel insurance (covering trip cancellation, trip interruption, and medical care) when traveling. If a traveler is covered through a credit card, group insurance through work, or any other personal insurance, it is their responsibility to review their insurance policies and, if necessary, purchase supplemental insurance to ensure adequate coverage. The travel advisor adheres to confidentiality principles regarding personal information provided by the customer.

PROMOTIONAL OFFERS

Promotions cannot be combined with one another.

Deposit and Final Payment / Cancellation, Transfer, and Change Policy

PACKAGES INCLUDING AIR TRANSPORT (including trips organized under the Vélo Québec Voyages, Self-guided , and Custom group programs)

Deposit required at the time of booking:

$500 per person if the package price is less than $5,000;
$800 per person if the package price exceeds $5,000 or if you book a package at Self-guided (group or individual) or Custom group.

The final payment must be received by Vélo Québec Voyages at least 70 days before the departure date. If the reservation is made less than 70 days before departure, the traveler must pay the full price of the package at the time of booking.

Once the final payment deadline has passed—70 days before departure—Vélo Québec Voyages will resell any unsold airline tickets included in the package. Travelers who book their trip after this date will be responsible for covering the difference in the cost of the airline ticket, which must be purchased individually. Restrictions and purchase conditions may apply to the airline ticket (non-refundable and non-transferable) in accordance with the airline’s booking terms and conditions.

Purchasing the land portion of the trip: The same rules apply to both the deposit and final payment, as well as to the cancellation, transfer, and change policies.

PACKAGES WITHOUT AIR TRANSPORTATION (including trips organized by Vélo Québec Voyages and Self-guided)

Deposit required at the time of booking:$200 per person.

The final payment must be received by Vélo Québec Voyages at least 45 days before the departure date. If the reservation is made less than 45 days before departure, the traveler must pay the full price of the package.

EVENT PACKAGES WITHOUT AIR TRANSPORTATION (including the " Petite Aventure " and the "Grand Tour")

A deposit is required at the time of booking for:

Petite Aventure : $75 per person
The Grand Tour: $200 per person

The final payment must be received by Vélo Québec Voyages at least 55 days before the departure date. If the reservation is made less than 55 days before departure, the traveler must pay the full price of the package.

For one-day tours, full payment is required at the time of booking.
