It is the responsibility of each traveler to obtain, at their own expense, all official and required documents for their trip—such as a visa—which vary depending on citizenship status and destination. Some countries require that the passport be valid for at least six months beyond the expected date of return to Canada. A single parent traveling with a child under eighteen (18) years of age may be required to present a written affidavit, signed by the other parent, authorizing the child to travel.
The carrier or the competent authorities may deny boarding or entry into a country to any traveler, either arbitrarily, following a temperature check, or due to non-compliance with requirements (documents, authorization, vaccination, etc.), without recourse against the agency, suppliers, or the authorities concerned. In such a case, the traveler must bear all costs incurred and is not entitled to a refund or compensation from Vélo Québec Voyages. PRICE SHOWN

All prices listed on our website are valid for one person based on double occupancy for both guided and Self-guided tours Self-guided are in Canadian dollars. Prices include taxes and the contribution to the Travel Agents’ Client Compensation Fund at the current rate, which is $1 per $1,000 of services purchased, plus any applicable rebate, effective January 1, 2024. The prices listed on veloquebecvoyages.com are valid if you purchase services during the same web session. If you log out of our site, prices may differ during your next session. Prices may be subject to change in the event of the imposition or increase of a tax by a government authority, a carrier surcharge, or a change in the exchange rate. In such a case, if the change is caused by a carrier surcharge or an exchange rate increase and results in a price increase of less than 7% excluding GST and QST, the customer agrees to pay the difference. However, if the change results in a price increase equal to or greater than 7% of the price, excluding GST and QST, the customer may then choose between (1) canceling this contract and receiving a full refund of the price, or (2) accepting any replacement services that may be offered; otherwise, the price difference must be paid in full by the customer. An insufficient number of travelers may constitute valid grounds for canceling a trip. In such cases, travelers will be notified as soon as possible, and Vélo Québec Voyages will refund in full the amounts collected for the trip. No other form of compensation may be claimed by the traveler. Should there be a discrepancy between the information presented on our website veloquebecvoyages.com and that in the detailed itinerary provided to the traveler at the time of departure, the content of the latter shall prevail.

ADDITIONAL SERVICES

For all requests regarding the following services, full payment is required at the time of the request, and in the event of cancellation, fees are 100% non-refundable
and non-transferable.

SERVICE NOT USED

Vélo Québec Voyages will not issue any refunds for services not used during the trip.

By authorizing the use of their credit card number, the traveler agrees to comply with the booking terms and conditions, even if they have not signed the appropriate form. Verbal authorization is sufficient to confirm payment by credit card and to confirm the purchase of the trip. By making an initial payment, the customer acknowledges and accepts these terms and conditions. Only the following cards are accepted: Visa and MasterCard.

The traveler releases Vélo Québec Voyages from any liability for damages resulting from injuries, accidents, death, or loss of enjoyment arising from the activity. The traveler is responsible for ensuring they are in sufficiently good health and capable of managing independently to undertake the trip. The traveler is also responsible for verifying whether vaccinations are required based on the destinations visited and for having the required proof of vaccination in their possession. The traveler is obligated to comply with the health measures implemented (masks, vaccinations, health checks) by the various service providers (airline, transfers, lodging, dining, etc.). These measures may be modified by the providers without notice.
Furthermore, the traveler releases Vélo Québec Voyages from any liability for damages resulting from unforeseeable events or force majeure, including, but not limited to: pandemics, strikes, government restrictions, acts of terrorism, war, weather conditions, and road conditions. In the event of force majeure, Vélo Québec Voyages reserves the right to cancel, change, or modify any part of the trip and will do everything in its power to provide equivalent services.

LUGGAGE/BIKE

The traveler acknowledges that the transport and handling of luggage and bicycles are at their own risk, and under no circumstances shall Vélo Québec Voyages be held liable for any delays or damage, including theft or loss of luggage, bicycles, or their transport boxes.

FLIGHTS

Flights are subject to change at any time by the airline, and such changes may affect schedules, aircraft types, travel dates, flight routes, etc. These changes may occur without notice, and Vélo Québec Voyages shall not be held liable for them.

PASSENGER CONDUCT

If a traveler behaves in a manner that is disruptive to other travelers or service providers, they may be removed from the trip. Vélo Québec Voyages will not reimburse any costs or losses resulting from such behavior. Furthermore, Vélo Québec Voyages reserves the right to refuse registration for one or more individuals on a trip.

MATCHING SOLO TRAVELERS

For trips offered as guided tours, solo travelers may be paired with another solo traveler of the same sex. However,
• Less than 70 days before the departure of a trip involving air travel, a solo traveler booking a package tour must pay the single occupancy supplement if no matching partner is available.
• Less than 31 days before the departure of a trip without air travel, a single traveler booking a package must pay the single occupancy fee if there is no waiting partner.
For trips offered as Self-guided tours, solo travelers must pay the single occupancy fee at the time of booking.

*Vélo Québec Voyages reserves the right to discontinue the roommate matching option in order to comply with the health and safety measures in effect at our accommodation providers in the relevant country or province. The customer understands that by agreeing to share a room with another person, they will be required to continue sharing the room with that person if the other person contracts a virus.

CHANGE IN THE NUMBER OF OCCUPANTS

In the event of a cancellation by one or more guests sharing the same room, the rate charged to the other members of the group will be increased accordingly, in accordance with the applicable rate. In addition, the guests who canceled will be required to pay the applicable cancellation fees.

Travelers who purchase only the land portion of the trip are responsible for:
• ensuring that the trip is confirmed before booking air or other transportation;
• joining the group on the date, at the time, and at the location specified by Vélo Québec Voyages.

It is the customer's responsibility to provide us with their outbound and return flight schedules.

No name changes are permitted within 7 days of departure. For name corrections on Air Transat tickets made 8 days or more before departure, a $50 fee will apply. For name corrections on tickets issued by airlines operating domestic flights, a change fee applies.

To travel with peace of mind, every traveler should always carry travel insurance (covering trip cancellation, trip interruption, and medical care) when traveling. If the traveler is covered by their credit card, group insurance through their employer, or any other personal insurance, it is their responsibility to review their insurance policies and, if necessary, purchase supplemental coverage to ensure adequate protection. The travel advisor adheres to confidentiality guidelines regarding personal information provided by the client.

Promotions cannot be combined.

A deposit is required at the time of booking:

• $500 per person if the package price is less than $5,000;
• $800 per person if the package price exceeds $5,000 or if you book a Self-guided package Self-guided group or individual) or Custom group package.

The final payment must be received by Vélo Québec Voyages at least 70 days before the departure date. If the reservation is made less than 70 days before departure, the traveler must pay the full package price at the time of booking.

Once the final payment deadline has passed—70 days before departure—Vélo Québec Voyages will resell any unsold airline tickets included in the package. Travelers who book their trip after this date will be responsible for covering the difference in the cost of the airline ticket, which must be purchased separately. Restrictions and purchase conditions may apply to the airline ticket (non-refundable and non-transferable) in accordance with the airline’s booking terms and conditions.

Booking the land portion of the trip: The same rules apply to both the deposit and final payment, as well as to the cancellation, transfer, and change policies.

QUEBEC VOYAGES BIKE PACKAGE

Self-guided Package

^1Inthe event of a cancellation, Vélo Québec Voyages (VQV) will require written notice, and the cancellation date will be the date VQV receives such notice. This notice will be used to calculate the cancellation fees.

^2Customerswho wish to transfer their reservation to another person are responsible for finding someone to take their place.
Certain restrictions may apply in the case of a transfer.

^3Subjectto availability, it is possible to change a reservation for one flight itinerary to another flight itinerary during the current season, subject to certain conditions.

A deposit of$200 per person is required at the time of booking.

The final payment must be received by Vélo Québec Voyages at least 45 days before the departure date. If the reservation is made less than 45 days before departure, the traveler must pay the full price of the package.

The final payment must be received by Vélo Québec Voyages at least 55 days before the departure date. If the reservation is made less than 55 days before departure, the traveler must pay the full price of the package.

For one-day tours, full payment is required at the time of booking.
